If you're just getting started with Passport365 or if you're an existing customer that receives jobs in bulk via a spreadsheet, you can import a batch of jobs via an .XLS template.
How to download the job .xls template file
You can download the .xls template from within the jobs section by follow the steps below:
1. Go to the Jobs section and select the Import Jobs option from the top drop-down menu and Apply.
2. The "Import your jobs via Excel" pop-up will be displayed. Here you will need to access the "sample file (click here)" link to download the template .xls file.
.XLS file format
After downloading the .XLS file you will need to open it and paste or manually input the information for each header. The job details will be reflected on Passport365 under the general Jobs list.
The header contains information about what should be updated in each column:
job_name - this is a mandatory field, the job will not be imported without a job name;
job_status - if the status doesn't exist in P365, a new status will be created;
customer_name - customer must already exist in P365;
schedule_date_from - users can add the start date and time of the job;
schedule_date_to - users can add the end date and time of the job;
site_name - if multiple sites addresses are added the site name must be unique for each site address;
custom_field - you can add as many extra column headers with the names of your custom fields as you want. All extra headers added after the "site_email" header will be considered custom fields.
IMPORTANT NOTE! The custom fields and preset values (in the case of drop-down custom fields) added to them are case sensitive. If you add an existing custom field name or preset value you must add it exactly as it has been added in the system, otherwise the system will generate a new custom fields or preset value e.g. if the custom field is added in all caps in the system it should be added in all caps in the .xls import file as well.
After adding all of the information to the file and saving it in .XLS format (remember to ensure its saved in the correct format), go to the Jobs section > access the top drop-down menu > select the Import Jobs option and click Apply. When the import box is displayed you will need to click the "Choose file" option and load the .XLS template in. once this is done you can then click "import now"
ATTENTION! If you add new custom fields you will have the option to "Add unmatched custom fields as new ones" this will create new custom fields in the system for you. Alternatively you can select "Ignore unmatched custom fields" to simply ignore them and not add them as new custom fields.
